Job Description

Job purpose
To support the day to day running of our office and support our team to ensure we deliver the best value to our clients. This will involve various internal and client-facing administrative tasks.

Main duties
The role will involve various administrative tasks, such as:

  • Supporting account managers and directors with contacting relevant third parties to obtain their permission for case studies, to be done in accordance with our strict data management processes.
  • Booking press releases in magazines as per guidelines set out by each of our clients.
  • Managing telephone enquiries and making outgoing calls on behalf of the business.
  • General administration around the office and looking after our team.
  • Managing the media buying process on behalf of our clients, including liaising with publications and ensuring data entry into the relevant spreadsheets, tracking and following up queries.
  • Monitoring and collating media coverage.
  • Processing post, filing, scanning, allocating magazines for reading, chasing up missing magazines/media coverage, and reporting.
  • Helping with the tracking and monitoring of our workflow management system.
  • Managing office supplies, e.g. ordering of stationery.
  • Maintaining office inventory.
  • Taking minutes of meetings.
  • Transcribing documents from audio recordings and handwritten notes.
  • Greeting visitors, answering the phone, setting up the meeting room for client visits.
  • Review current processes and making suggestions for improvements.

Additional duties
Whilst everyone on our team has defined job roles, we also work collaboratively on almost every aspect of the business, from general admin and internal campaigns to contributing to business wide decisions. From time to time, you may be asked to undertake additional duties. This could include things like:

  • Supporting account managers with research or reporting tasks.
  • Planning and supporting internal PR & marketing campaigns to contribute to the continued growth of the business.
  • Creating internal resources and contributing to internal training.

These duties and responsibilities may change from time to time according to the needs of the business.

Skills & requirements

  • Highly organised with strong time management skills and the ability to cope with several projects at once
  • Proactive and responsive
  • Strong verbal communication skills, including confident phone manner
  • Strong written communication skills
  • Strong front-of-house skills with a friendly and welcoming demeanour
  • Excellent at maintaining positive and effective professional relationships with co- workers, clients, and third parties
  • Strong record keeping skills
  • Confident in using Office 365 (including Excel), Google Workspace (sheets, docs etc)
  • Independent but enjoy working in a team and have a flexible approach to working
  • Adaptable and enthusiastic
  • Ability to follow set processes
  • Willingness to learn new skills and platforms/tools

It would also be advantageous to have:

  • Understanding/experience of media buying and media liaison with print publications
  • Experience working in a public relations/marketing setting
  • Experience/knowledge of administration of Google Ads campaigns

Education, Qualifications & Experience

  • 2 years’ experience working in an office environment

About Smith Goodfellow
